Privacy Policy

Pruvant respects privacy and handles personal information carefully. This Privacy Policy explains how Pruvant collects, uses, stores, and protects information submitted through this website, including workflow-review requests.

This policy is intended to describe Pruvant's current privacy practices for website visitors and workflow-review submissions. It is designed with Canadian and Québec privacy principles in mind. It is not intended to cover all data-handling terms for paid consulting, audit, or implementation work.

1. Who we are

Pruvant provides practical AI workflow implementation support for operations-heavy businesses.

If Pruvant later operates through a formal legal entity, this policy will be updated to identify that entity.

2. Scope of this policy

This policy applies to information collected through:

  • the Pruvant website;
  • the workflow-review form;
  • email communications related to a workflow-review request;
  • technical systems used to operate the website and form.

This policy does not cover paid audit, consulting, implementation, or pilot work. Those engagements may involve separate confidentiality, data-handling, security, AI tool, and service terms.

3. Information we collect

When you submit a workflow-review request, Pruvant may collect:

  • your name;
  • your work email address;
  • your company name;
  • your role or function, if provided;
  • your description of the workflow;
  • where the workflow happens today, such as email, Excel, ERP, documents, chat, portals, or shared folders;
  • what breaks when the workflow is delayed, missed, or handled inconsistently, if provided;
  • email correspondence after submission.

The website and supporting services may also process limited technical information, such as server logs, timestamps, IP address, browser type, device information, security logs, or delivery metadata generated by hosting, DNS, email, or infrastructure providers.

4. Information you should not submit

The public workflow-review form is for an initial description only.

Do not submit:

  • confidential files;
  • sensitive personal information;
  • production system credentials;
  • customer records;
  • employee records;
  • supplier confidential information;
  • ERP exports;
  • operational datasets;
  • regulated personal information;
  • information you are not authorized to share.

If a workflow appears to be a good fit for further review, Pruvant may later request redacted examples, screenshots, exports, or process artifacts through a more controlled process.

5. How we use information

Pruvant uses information submitted through the website to:

  • review whether a workflow may be a fit for an AI Workflow Opportunity Audit;
  • reply by email;
  • ask clarifying questions;
  • propose times for an audit scoping conversation;
  • maintain a record of inquiries and follow-up;
  • improve the website, form, and lead-handling process;
  • operate, secure, and troubleshoot the website and form.

Pruvant does not sell personal information.

Pruvant does not use public form submissions to make decisions about you based exclusively on automated processing.

6. Consent

By submitting the form or contacting Pruvant by email, you consent to Pruvant using the information you provide for the purposes described in this policy.

You may withdraw consent for future communications by contacting privacy@pruvant.ca. Withdrawal may limit Pruvant's ability to respond to your request or continue a related conversation.

7. Service providers

Pruvant uses third-party service providers to operate the website and communication flow. These may include providers for website hosting, DNS and security, email routing, email delivery, lead storage, and follow-up communications.

These providers may process information only as needed to support the website, form, communications, security, storage, or related operations.

8. Storage and cross-border processing

Pruvant is based in Québec, Canada. Some service providers may process or store information outside Québec or outside Canada, including in the United States or other jurisdictions.

When information is processed outside Québec or Canada, it may be subject to the laws of the jurisdiction where it is processed or stored. Pruvant aims to use reputable providers and limit the information collected through the public form.

9. Retention

Pruvant keeps information only as long as reasonably needed for the purposes described in this policy, including to:

  • review and respond to workflow-review requests;
  • manage follow-up communications;
  • maintain business records;
  • improve lead handling;
  • comply with legal, security, or operational requirements.

If a request is not relevant or no relationship develops, Pruvant may delete or anonymize the information when it is no longer needed. If a paid engagement begins, retention may be governed by separate agreement terms.

10. Safeguards

Pruvant uses reasonable administrative, technical, and organizational safeguards appropriate to the limited information collected through the website.

These safeguards may include:

  • limiting collection through the public form;
  • asking visitors not to submit confidential or sensitive information;
  • using reputable hosting, email, DNS, and infrastructure providers;
  • limiting access to inquiry information;
  • using server-side handling for sensitive service credentials;
  • avoiding public browser-based write access for lead storage.

No method of transmission or storage is completely secure. Pruvant cannot guarantee absolute security.

11. Cookies and analytics

Pruvant does not currently use advertising cookies.

If analytics or additional tracking tools are added later, this policy will be updated to describe what is collected and how it is used.

Basic technical logs may still be created by hosting, DNS, security, and email infrastructure providers as part of normal website and email operations.

12. Access, correction, and deletion requests

You may contact Pruvant to request access to, correction of, or deletion of personal information you submitted through the website.

Pruvant may need to verify your identity before responding. Some information may need to be retained where required or permitted for legal, security, business record, or dispute-resolution purposes.

13. Privacy incidents

If Pruvant becomes aware of a privacy incident involving information submitted through the website, Pruvant will assess the situation and take steps appropriate to the nature and seriousness of the incident.

This may include containment, investigation, notification, recordkeeping, and remedial steps where required or appropriate.

14. Client data and paid engagements

This website privacy policy does not govern detailed client project data.

Paid audits, consulting projects, or implementation pilots may involve separate terms covering:

  • confidentiality;
  • client artifacts and samples;
  • redaction and authorization responsibilities;
  • use of AI tools;
  • subprocessors;
  • security boundaries;
  • deletion or return of client materials;
  • human review;
  • no ERP writeback unless explicitly approved.

Do not submit operational datasets, customer records, supplier confidential data, employee information, ERP exports, or credentials through the public form.

15. Changes to this policy

Pruvant may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised effective date.
